How to Evaluate Project Management Software

There is a lot happening in the project management world these days, with all the new certifications and revamping of examination styles.  Amidst this confusion, project managers are also dealing with the responsibilities of the job and the constant pressure to deliver.  It takes a lot of coordination and effort to deliver on time and within budget.  Effective project management software should be able to handle of all of this, making it a saving grace in these times of stress.

There are two styles of projects to cater to: internal projects and customer projects.  Internal projects are meant for an organization and customer projects are for clients.

When selecting project management software, it is important to make sure it is able to do the following:

  • Support both internal and customer projects
  • Easy to use – such as assign tasks with a simple click
  • Break a project into manageable pieces  or modules
  • Create tasks for modules based on pre-defined templates
  • Create phases automatically with completion of the predecessor task
  • Allocate resources for tasks
  • Track time spent on tasks
  • Choose between billable and non-billable hours
  • Easily calculate resource costs from the hourly rate
  • Control when to bill the clients and track payments
  • Set up levels of escalations based on delivery date
  • Control versions and create release notes automatically
  • Track project defects
  • Create a comprehensive report of completed and pending tasks
  • Designate a milestone with one click
  • Create Gantt charts and project trend reports

    I’ve worked as a project manager in my team and to use a project management software package really makes a difference. It has made managing things easy and you can organize things properly. The tool that we use is called Latitude and its features work as we expect in a project management software package.
